This Privacy Policy explains how Pharos Legal LLC ("Pharos," "we," "us") collects, uses, and protects information in connection with the Pharos platform (the "Service"). By using the Service, you agree to this Policy.

- Account information: firm name, your name, email, password (stored hashed), and contact details you provide.
- Customer Data: client records, documents, messages, and files you create or upload to manage your practice.
- Billing information: processed by our payment processor; we do not store full card numbers.
- Usage & technical data: log data such as IP address, browser type, and actions taken, used to operate and secure the Service.
2. How We Use Information
- To provide, maintain, and improve the Service.
- To authenticate users and secure accounts (including two-factor authentication).
- To process payments and manage subscriptions.
- To send service-related communications (e.g., signing links, portal invitations, account notices).
- To comply with legal obligations and enforce our Terms.
3. How We Share Information
We do not sell your personal information. We share information only with service providers ("subprocessors") that help us operate the Service, under contractual confidentiality obligations, including:
- Payment processing: Stripe, Inc.
- Email delivery: Brevo (Sendinblue).
- Cloud hosting infrastructure used to run the Service.
We may also disclose information if required by law or to protect the rights, safety, and security of users and the Service.
4. Customer Data & Confidentiality
Customer Data belongs to you. We process it solely to provide the Service and do not use it for advertising. As a firm, you are the controller of your clients' information; you are responsible for having any necessary rights and disclosures with your own clients.
5. Data Security
We use reasonable technical and organizational measures to protect information, including encrypted connections (HTTPS), hashed passwords, two-factor authentication, and per-firm data isolation. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Data Retention
We retain account and Customer Data for as long as your account is active and as needed to provide the Service. After account closure, we may retain data for a reasonable period to comply with legal obligations, resolve disputes, and enforce agreements, after which it may be deleted.
7. Your Choices & Rights
You may access and update your account information within the Service, request export or deletion of your data, and opt out of non-essential communications. Depending on your jurisdiction, you may have additional rights regarding your personal information; contact us to exercise them.
8. Cookies
The Service uses essential cookies (for example, to keep you signed in). We do not use the Service to serve third-party advertising.
9. Children
The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children.
